Privacy Policy
Last updated: Draft — effective on the date of publication
DoneganOS is operated by Magnetic Holdings LLC. In this policy, "DoneganOS", "we" and "us" mean Magnetic Holdings LLC operating the DoneganOS service. DoneganOS provides field-service management software used by outdoor service companies ("Businesses") to manage customers, properties, schedules, crews, estimates, invoices and payments.
This policy covers the DoneganOS marketing website (doneganos.com), the DoneganOS web app (donegan.app), and the DoneganOS mobile apps.
1. Who is responsible for your information
Each Business that uses DoneganOS controls the records it enters about its own customers, properties and jobs. For that information DoneganOS acts as a service provider processing it on the Business's behalf. If you are a customer of a Business, contact that Business first about its records. DoneganOS is responsible for account information about Business users and for the operation of the platform.
2. Information we handle
- Account information: name, email address, password (stored hashed by our authentication provider) or Google sign-in identity, company membership and role (owner/admin, dispatcher, crew, customer).
- Business information: company name, logo, contact and sending details, tax settings, pricing and service settings entered by the Business.
- Customer and property information: customer names, emails, phone numbers, service addresses, property details, notes and messages entered by a Business or by customers in the customer portal.
- Schedules and service records: jobs, recurring visits, routes, crew assignments, visit status, time-clock and hours entries.
- Photos, videos and attachments: field photos, site-walkthrough videos and files uploaded by users. Photos may include location or time information captured by the device.
- Estimates, invoices and payments: line items, amounts, deposits, payment status and history. Card payments are processed by Stripe; DoneganOS does not store full card numbers. We store limited references such as the card brand, last four digits, expiry and Stripe identifiers.
- Device and notification information: if you enable notifications, a push token for your device or browser, the platform (Android or web) and which company the notifications belong to.
- Usage and technical information: pages viewed, feature usage events, error reports, IP address and browser or device type, used to operate, secure and improve the service.
- AI features: text you send to Ask DoneganOS and related business records may be processed by an AI model provider to produce responses and proposals.
3. How we use information
- To provide the service: scheduling, routing, crew work, estimates, invoicing, payments, customer portal and messaging.
- To send service emails and notifications the Business or you have enabled, such as estimates, invoices, reminders and job updates.
- To manage subscriptions, trials and billing for Businesses.
- To keep the service secure, prevent fraud and abuse, and keep each company's data separate.
- To provide support and improve the product.
We do not sell personal information and do not use customer records for advertising.
4. Service providers
We share information only with providers that help us run DoneganOS, for the purposes above:
- Cloud hosting, database, authentication and file storage provider.
- Stripe — payment processing and platform subscription billing.
- Google — optional Google sign-in, maps and address lookup, and Firebase Cloud Messaging for Android notifications.
- Email delivery providers, including a Business's own connected email account where the Business chooses one.
- AI model providers used for AI-assisted features.
We may also disclose information when required by law or to protect the rights and safety of users and the public.
5. Security
We use access controls that keep each company's records separate, role-based permissions, encrypted connections, and restricted handling of integration secrets. No system is perfectly secure, and we cannot guarantee absolute security.
6. Retention and deletion
We keep information while an account or Business subscription is active and as needed to provide the service. When you request deletion of your account, we aim to complete it within 30 days after your identity is verified, subject to applicable law and documented exceptions, except where information must be kept as described below. Business records such as invoices, payments and audit history may need to be kept after a user account is deleted, because the Business that owns them may be legally required to keep them. The record of a deletion request itself (dates, status and the steps taken) is kept to show the request was handled; we propose to anonymize it 24 months after the request closes, unless it is subject to a documented legal hold [PENDING LEGAL REVIEW]. Raw data imported from other systems is purged on a schedule. See Delete your account for what happens when you request deletion.
7. Your choices and rights
- Update your profile details in the app, or ask the Business you work with to correct its records.
- Turn off notifications in the app or your device settings.
- Request a copy, correction or deletion of your information by emailing us. Depending on where you live you may have additional rights under local law.
- Request deletion of your account at /delete-account.
8. Children
DoneganOS is a business tool and is not directed to children under 13 (or the age required in your country).
9. Changes
We will post updates on this page and change the date above. Significant changes will be communicated to Business owners.
